Asset Register Template

Keep one record for every piece of equipment your organization owns. This template gives maintenance, facilities, and operations teams a single place to hold an asset's status, location, serial number, purchase and warranty dates, and depreciation schedule, instead of spreading them across spreadsheets, invoices, and filing cabinets. Assets can be nested under a parent asset, so components roll up to the line, building system, or vehicle they belong to. It is the record everything else in your maintenance program refers back to.

How the Asset Register Workflow Works

Record each asset once

Create a record with Asset Name, Serial Number, Manufacture Date, Purchase Date, and In Service Date. Coast stamps each one with a sequential Asset ID Number.

Mark what is running and what is down

Current Operational Status sets each asset to Pre-Operational, 🟢 Fully Operational, 🟡 Partially Operational, or 🔴 Non Operational. The Non Operational Assets view filters to the ones that are out of service.

Build the equipment hierarchy

Parent Asset links a record to the asset it belongs to, and each parent record lists the assets underneath it, so a pump, a motor, and a control panel can all sit under one line.

Benefits of This Asset Register Workflow

  • One source of truth for what you own

Serial numbers, models, locations, and in-service dates live on the asset instead of in someone's spreadsheet, so anyone can answer what a machine is and where it sits.

  • See what is running and what is not at a glance

The Operational View groups assets by their current status, and Non Operational Assets shows only what is down, so you can see the scale of a problem without opening records one by one.

  • Keep equipment value alongside equipment history

Asset Value, Salvage Value, Depreciation Rate, Depreciation Start Date, Depreciation End Date, and Useful Asset Life sit on the same record as the operational detail, so finance and maintenance read from the same place.

What’s Included in This Workflow

The asset record

Identity and location fields, four lifecycle dates including Warranty Expiration Date, file attachments for photos and manuals, and a full depreciation block covering value, rate, term, and disposal.

  • Non Operational

Shareable access

A read-only asset view and an External Form are both public, so you can send someone an asset record or let them submit a new one without giving them a Coast seat.

  • Read-only view
  • External Form

Customize the Workflow for Your Team

Manufacturer, Model, and Asset Category ship open so you can build the lists that match your equipment rather than working around someone else's. Location, Parts, and Vendor are relationship fields you point at the workspaces you already run, so the register plugs into your existing locations, parts inventory, and vendor list. Coast AI can add warranty expiration reminders, a view of assets due for depreciation review, or extra fields like cost center and criticality rating.

FAQs About Asset Register

What happens when I add this workflow to Coast?

You get one Asset Register workspace. Each record holds Asset Name, Asset ID Number, Current Operational Status, Location and Additional Location Notes, Manufacturer, Model, Asset Description, Asset Category, Serial Number, Manufacture Date, Purchase Date, In Service Date, Warranty Expiration Date, Parent Asset, Resources, Parts, Vendor, meter fields, and the depreciation and disposal fields. It comes with the List, Table, Board, Operational, and Non Operational Assets views, a create form, and a public External Form.

How can Coast AI help with this workflow?

Coast AI can tailor the register to your equipment — adding fields, building the category and manufacturer lists, creating filtered views for a site or an asset class, and setting up reminders. It can also answer questions from the data you have stored, such as which assets are out of warranty this quarter.

Can I connect assets to work orders, parts, and vendors?

Yes. Location, Parts, and Vendor are link fields you point at your existing workspaces, so an asset record carries its parts list and vendor alongside its maintenance history.

Can I import my existing asset list?

Yes. Bring in your current spreadsheet or export and map the columns to the fields above, including serial numbers and purchase dates.
