Asset Check-In / Check-Out Template

Track who has your equipment and when it is coming back. This template gives crews, IT teams, schools, and rental operations one record per checkout — the asset, the person holding it, where it went, and the condition it left and returned in. Each record names who authorized the checkout, so there is a clear account of who approved a piece of equipment leaving. It replaces the clipboard by the tool crib door.

How the Asset Check-In / Check-Out Workflow Works

Benefits of This Asset Check-In / Check-Out Workflow

  • Know who has what right now

Every item that is out has a named holder, a destination, and a due date, so nobody has to ask around to find a missing piece of equipment.

  • Settle damage questions with a record

Because condition is captured at both ends of the checkout with photos attached, a dispute over who damaged something is answered by the log rather than by memory.

  • See what is due back this week

The Return Calendar plots records by Expected Return Date, so upcoming returns are visible before they turn into chasing.

What’s Included in This Workflow

The checkout record

Asset Category, Asset ID / Tag, the two people fields, the three dates, Destination / Job Site, both condition fields, Notes, and Photos / Attachments.

  • Checked Out To
  • Authorized By
  • Expected Return Date
  • Condition at Return

Four ways to read the log

All Checkouts and the Status Board both group by Status across Checked Out, Overdue, Returned, and Under Maintenance; the Return Calendar plots expected returns; Checkout Details is the record layout itself.

  • All Checkouts
  • Status Board
  • Return Calendar
  • Checkout Details

Public checkout access

A read-only card view and an External Form are public, so a crew lead or a contractor can submit a checkout or view a record without logging in.

  • Read-only card
  • External Form

Customize the Workflow for Your Team

Asset Category ships with Equipment, Tool, Vehicle, Device, Key / Access, and Other, and you can reshape that list to match what you lend out. Asset and Storage Location are link fields you point at your own asset register and locations workspaces, so a checkout record resolves to the real item rather than a typed tag. Coast AI can add overdue flagging driven by the Expected Return Date, a view of everything currently out, or a signature field for handover.

FAQs About Asset Check-In / Check-Out

What happens when I add this workflow to Coast?

You get one Asset Check-In / Check-Out workspace. Each record holds Status, Asset Category, Asset ID / Tag, Checked Out To, Authorized By, Check-Out Date, Expected Return Date, Actual Return Date, Destination / Job Site, Condition at Check-Out, Condition at Return, Notes, Photos / Attachments, and links for Asset and Storage Location. It comes with the All Checkouts list, Status Board, Return Calendar, a record layout, and a public External Form.

How can Coast AI help with this workflow?

Coast AI can tailor the categories and conditions to your equipment, build filtered views such as everything out at one job site, add fields like deposit amount or accessory checklist, and answer questions from the log — for example, which items have come back Damaged this month.

Can people outside Coast check equipment out?

Yes. The External Form is public, so you can post a link or a QR code at the crib and have crews submit a checkout from their phone without a Coast seat.

Can I import my existing checkout log?

Yes. Bring in your current sheet and map the columns to the fields above so open checkouts carry over with their due dates.
