Maintainly is easy to get up and running, even if you’re not a tech wizard. Setup is straightforward — you can start building out assets, work orders and locations pretty quickly without needing a big onboarding process. (Beginners who do need help can find short training videos on the website.)

Navigation feels intuitive and most features are right where you’d expect them to be. Creating work orders, assets and locations takes just a few clicks, and it doesn’t feel overwhelming like other CMMS solutions. Updating or searching for work orders is also smooth. You don’t have to dig through a maze of menus — the search bar and filters actually work well, which makes life easier when you’re juggling a bunch of projects.

Maintainly Mobile Experience 

Maintainly mobileMaintainly’s mobile app is also designed with simplicity in mind. For folks in the maintenance field who may not be especially tech-savvy, the app mimics what you see on the website, with the same clear layout and intuitive navigation. Here, you can quickly update tasks, log work or check asset info right from your phone without needing a lot of training.

The mobile interface reflects the same core information as the desktop version, so there’s consistency whether you’re at a computer or out in the field. Alerts and notifications are sent directly to the app, helping users stay updated on assignments or urgent issues. Overall, Maintainly’s mobile experience is well-suited for on-the-go teams, even those who aren’t especially comfortable with tech.

Maintainly Core Features & Functionality 

Let’s take a closer look at some of Maintainly’s core features and how they function for maintenance teams.

Work Order Management

Work orderIf you’re a CMMS novice, Maintainly is one of the easier programs out there. There isn’t much of a learning curve. Instructions for creating work orders are straightforward — we were able to create ones within minutes. 

Maintainly streamlines work order management by making it easy for users to assign projects within each work order and mark them as complete when finished. The system tracks task status through completion markers, and filtering options are also available via an easy-to-use search bar at the top of the page. This enables teams to sort work orders based on their status or priority, which makes managing multiple tasks even more intuitive.

Communications within work orders are handled through comments and attachments, which means users can upload procedural documents, photos or any other relevant files to a task. That said, one thing that’s notably absent is chat or real-time messaging capabilities within the system. Another thing that we could not locate in our test run of the software was a “calendar view” of all our tasks. 

Asset Management

Its asset management system is created around a hierarchy that allows users to organize assets in parent-child structures. Each asset is stored with its own maintenance history, including work orders and part usage, even if it’s moved or renamed.

When adding an asset, you choose an Asset Model or create a new one, then further define it with details like serial number, value and photos. Assets can be linked to preventive maintenance schedules tied to their model, so you don’t have to manually build plans for every one.

Reporting & Analytics

Maintainly also offers a variety of reports to keep track of your maintenance work. You can run service reports that show what work was completed, how long it took, what parts were used and who did the job. The system also tracks each asset’s full maintenance history and helps you stay on top of scheduled tasks with preventive maintenance reports.

You can see inventory levels and part usage, export timesheets for payroll and create safety or inspection reports for audits. There are also cost reports to show how much you’re spending on labor and materials, plus trend reports that help spot recurring problems or equipment that’s always breaking down. 

In summary, Maintainly is an overall solid tool for managing maintenance without unnecessary complexity. 

Maintainly Adaptability & Customization 

CustomUsers cannot add or remove fields within the work order (or task) form itself — work order fields are fixed and do not support customization in terms of addition or deletion. However, in other areas, such as assets, locations and parts, Maintainly does allow users to create, add and remove fields. 

Even in the Free level, users can rename fields to better match their specific terminology or needs within these areas (for example, “Serial Number” to “Equipment ID” for assets or “Location Name” to “Warehouse Section” for parts.) This allows for clearer organization and easier identification based on how a business operates.

Maintainly Customer Support 

SupportMaintainly offers a mix of self-service tools and direct support to help users stay on top of their maintenance management. The Help Center is searchable and packed with quick answers to common questions, making it a good first stop if you’re stuck. There’s also a Resources section that’s great for onboarding materials or internal team guides, plus full API documentation for developers who want to build custom integrations or automate workflows.

If you need direct assistance, Maintainly provides live chat support right on the website for fast responses, along with email support for more detailed questions. Between the self-serve options and real-time help, users have multiple ways to get the support they need — whether it’s troubleshooting, setup or advanced customization. However, unlike some other CMMS companies, there is no direct phone support. 

Maintainly Pricing 

PricingMaintainly’s Free plan includes unlimited work orders, mobile access, task templates, work requests and asset QR labels — ideal for small teams or startups. Maintainly’s CMMS allows team members to comment and share information within work orders via text, photos and PDF uploads. These comments are visible to all users with access to the work order, facilitating communication that is related to specific tasks. But what Maintainly’s CMMS doesn’t include is built-in, real-time communication between team members. Coast’s CMMS does, making it the more well-rounded pick.
