What Makes the Best CMMS Software?

First, what makes the best healthcare CMMS software? It should allow your team to customize workflows based on specific pain points and preferences. Let’s take the example of a work order form. You might want to add a custom field that requires adding the names of people consulted for preventive maintenance on an MRI machine. This helps build an audit trail and establish accountability.

You should also see if the CMMS offers the features you need and whether the pricing structure forces you to pay for features you don’t need. Most modern CMMS software includes modules for inventory management and work order management and a few include other features like the ability to monitor sensor-fed data and built-in communication.

Why It's a Top Healthcare CMMS

Coast mobile work order appCoast is a highly customizable CMMS that offers all the tools you need for healthcare maintenance. With Coast, you can organize all asset lifecycle details in one place. Think medical equipment manuals, warranty info, photos, maintenance history and other standard operating procedures (SOPs). What’s more, these documents are easily accessible through the mobile app or a quick QR code scan.

Coast also allows you to view real-time maintenance history for all medical equipment, create and schedule maintenance tasks, track and manage work orders, and access real-time insights to identify trends and cost-reduction opportunities. The software also features powerful automations that alert the right person whenever a maintenance task is due or parts inventory reaches below a certain level. If your facility or biomed tech has questions, Coast offers built-in chat that lets them ask questions and get answers in real time.

All of this leads to more efficiency and cost savings, according to Coast Customer Zeb Freeman, assistant director of operations for the Animal Resource Center at UT Southwestern. By storing all the assets and work order management data in Coast, supervisors can track work orders and have a clear picture of where their technicians are at any given time, while technicians can provide updates from the field, helping move the work orders through the system quickly.

“Before using Coast, it was a matter of weeks before we would complete a work order,” Freeman says. “Now, in general, we’re completing work orders the same day or within a few days.”

Not only did the team see a 600 percent increase in efficiency, they can now also track costs. This makes it easy to see how much they’ve spent on a piece of equipment and whether or not it’s worth purchasing a new one instead of continuing to repair it.

Easy to Use & Quick to Get Set Up. Best of All, Affordable!

The most helpful thing about Coast is that it was easy to get up and quick to get started. We purchased it and got it up and running same day with our team of 30 people. Other software we tried in the past took weeks to get up and running and wasted a bunch of time.

eMaint Has Been a Great System to Use. X5 Is Very User-Friendly & the Support Teams Are Amazing!

We use eMaint daily for production maintenance, and it's very helpful keeping track of all of our maintenance inventory, actively removing parts as they are used and even populating our reorder list when on-hand inventory gets low. We have a lot of unused data from our previous system but plan to clean it up during our X5 transition later this year. There isn't much we dislike about X4, but we are excited to start using some of the new features in X5!

It offers healthcare-specific features like digital compliance binders and automated permitting workflows (ICRA, PCRA and ILSM), which help you stay audit-ready. It also offers mobile accessibility, which means your technicians can access maintenance data and update it from anywhere as long as they have a phone.

The WorkxHub is ideal for large healthcare businesses, especially ones with multiple sites or buildings. However, if you’re a small healthcare facility, TheWorkxHub will likely feel overkill.

Key Features

  • Digital compliance binders that consolidate compliance work orders and attachments and organize by accredited standard

  • Offers predefined dashboards, KPIs and customizable BI-style visualizations

Pros & Cons

Pros

  • Tailored for healthcare compliance

WorxHub Is Great for Multipurpose Use

I enjoy how easy WorxHub is to navigate and use. Also, the staff are friendly and always willing to assist or point you in the right direction. To me, it is very user friendly. Sometimes, you can get a little lost because it can go into real depth, but once you use it regularly, it's pretty easy. Going in and practicing is easy. I would like to understand asset management a little more.

Why It's a Top Healthcare CMMS

FMX calendarFMX is a beginner-friendly CMMS, ideal for teams that aren’t tech-savvy. The CMMS includes all the essentials, such as preventive maintenance scheduling, attachments in work orders, downloadable reports and more. It also offers a facility scheduling tool that helps your team manage room bookings at your healthcare organization.

However, it doesn’t offer built-in chat. Another issue we noticed is that FMX only offers a mobile-responsive app instead of a dedicated app. It’s essentially a limited version of the web version. The app also doesn’t support push notifications, so teams receive notifications via email and SMS.

Key Features

  • Intuitive scheduling for room and equipment bookings

  • Capital Planner that helps develop a long-term capital plan

  • Guest and visitor registration to manage guest experiences

Pros & Cons

Pros

  • The team custom-builds your experience based on your needs
  • Easy to use
  • Excellent support quality

Cons

  • Sends too many email reminders until you change notification settings
  • Lack of customizability in reports
  • Occasional lagging

Current Review

Friendly Software

FMX is very user friendly, and when showing colleagues how to navigate their features, they are not overwhelmed by the user interface. When I have a question, FMX offers great customer support in a very timely manner. We use different features frequently, and we like to have our users to easily navigate the software without feeling overwhelmed. At times, FMX takes a while to load a page.

Why It's a Top Healthcare CMMS

Limble PMLimble makes it simple for healthcare organizations to assign maintenance tasks, track equipment history and manage maintenance workflows. You can configure workflows to your needs and set them up to trigger based on time, usage (runtime hours, for example) or condition (for example, when the HVAC system’s airflow rate reading breaches a defined level).

Once work orders are created, a maintenance manager can use the interactive calendar. Managers and technicians can update work orders even when offline. Limble auto-updates these changes when the internet connection is restored.

Key Features

  • Customizable dashboards and reporting

  • Automated vendor management and parts ordering

  • Ready-to-use integrations with most widely used software systems

Pros & Cons

Pros

  • Robust feature set
  • Excellent interface
  • Extensive Help Center

Cons

  • Steep learning curve
  • Subpar mobile experience
  • Expensive

A Clean & Very Intuitive Tool

Limble is very easy to use. Everything you need to run a solid maintenance plan is there, and it's very intuitive. You can quickly upload or update hundreds of PMs, assets or parts lists. You can also create custom dashboards or export the data to work on another platform. Additionally, if you encounter any issues, the support team responds very quickly. If you need a feature that is not available yet, you may have to wait a long time for it to be implemented.
Pedro F., Research and Development Analyst, Small Business

All Eyes on Customization

Most top CMMS tools are general-purpose. They’re not designed specifically for healthcare, and that’s exactly why you need a highly customized CMMS tool.

Coast, for example, lets you build custom workflows, where you can add custom dashboards, automations and external request forms. You can add a custom field where the inspection type (EOC, ILSM or Life Safety) is mentioned to track the compliance standard each task relates to.

It also allows “Customization Items” for demo purposes. These items are user-defined variables like text, images, numbers or colors that dynamically inject into demo content and personalize it for every prospect.

If you’re a healthcare organization looking to simplify maintenance, book a demo today.
