The platform helps manage assets, monitor inventory and give teams better visibility and control over daily operations. It’s popular in industries such as manufacturing, utilities and facility management — sectors in which equipment downtime can be costly and efficiency is crucial. 

We took a closer look at Fiix to see how well it delivers on its promises. Here’s what we found.

We tested Fiix’s free version and studied real user feedback to highlight its key strengths and weaknesses. We reviewed Fiix’s desktop and mobile options, created asset lists, generated work orders and tried out the overall system.

In short, many users mention the learning curve as an initial hurdle. They find it confusing for maintenance staff accustomed to more modern interfaces. But management appreciates the data collection once staff get used to it.

Fiix Ease of Use

Fiix dashboardInitial Fiix setup requires minimal technical expertise, but configuring the system to match operational needs proves challenging. Most organizations struggle with asset hierarchies during implementation, and navigation is challenging due to the illogical organization of features.

The interface looks dated compared to modern maintenance systems. Plus, preventive maintenance scheduling and inventory management are buried in submenus, making them hard to find. It’s more common for users to memorize specific pathways than to find features intuitively.

Even creating work orders requires navigating multiple steps and unclear dropdown menus. Updating existing work orders feels cumbersome and requires navigating back through multiple screens. Search allows you to sort by assets, priority levels and status, but switching views and applying filters takes a while. While there are a lot of customization options, those are also not intuitive for new users.

Most staff require several weeks of practice before gaining confidence with the system. Maintenance supervisors invest additional hours onboarding fresh staff, while technicians typically develop their own quick-reference materials for routine procedures. Helpful resources exist, but they don’t completely overcome the clunky interface.

Fiix Mobile Experience

Fiix mobileFiix offers a mobile app that requires an active company account and does not offer a trial option. Screenshots show a functional but dated interface with clearly labeled buttons lacking modern intuition. The absence of a sandbox prevents customers from testing mobile workflows before purchase. Desktop and mobile versions cover similar workflows, including work orders, assets and inventory, but we cannot confirm if they mirror all functionality. 

The app sends push notifications, but our limited access prevented testing mobile update capabilities. Field technicians report that the app functions adequately, but restricted access hinders a complete evaluation.

Fiix Core Features & Functionality 

Let’s take a closer look at some of Fiix’s core features and how they function for maintenance teams.

Work Order Management

Fiix work orderFiix offers a comprehensive work order management system that allows maintenance teams to create, assign and track work orders efficiently. Users can filter work orders by various criteria such as priority, status, due date and maintenance type. 

One of the things we tested was filtering all completed work orders for the day. Simply navigate to the Work Orders section, click on the Filters bar, select the Status filter and choose “Completed.” Then, apply additional filters like Due Date to narrow down to today’s completed tasks. This filtering capability enables teams to quickly assess completed tasks and identify any pending work.

We found competitors had the upper hand here. For example, Limble offers a more intuitive interface with quicker access to filtered results. Users can filter completed work orders with fewer clicks, enhancing efficiency.

Preventive Maintenance

Preventive maintenance for fiixFiix handles preventive maintenance planning using time triggers, usage limits and condition readings. Users can view tasks on a calendar, switching between daily and weekly views as needed. Many teams find the calendar looks outdated compared to newer maintenance systems.

To set up a new PM task, we accessed the Preventative Maintenance section, created a new PM task and defined the trigger (i.e., every 30 days). Then, we assigned the task to a fictional person and attached relevant documents.

It was clear to us that platforms like UpKeep offer a more modern and intuitive interface for setting up PM tasks. It offers real-time scheduling and automated notifications, reducing manual intervention.

Asset Management & Tracking

Asset hierarchyFiix offers asset tracking that is useful but requires a bit of setup to get it right. To test it, we created a new asset by entering details like the Asset Name, Location and Condition. Then, we assigned the asset to a parent asset, using the Parent-Child hierarchy feature to organize multiple components under one asset.

What we didn’t do was print the code and place it on a physical asset for testing, so we can’t speak to the QR code scanning feature using the mobile app. Again, the app isn’t available in demo mode, as you have to have an active company account.

What we can say is that while Fiix provides a solid asset management system, competitors like Asset Panda offer a more user-friendly interface with customizable fields and real-time tracking capabilities. Organizations with complex needs have better choices than Fiix, which is quite daunting to work in.

Communications Within Work Orders

Job tickets accommodate step-by-step instructions, checklists, images and spare parts inventories. One glaring gap, though, is that Fiix offers no internal messaging for crew communications. Most information sharing happens through notes and files attached to work orders.

Reporting & Analytics

Fiix offers strong reporting with real-time updates on maintenance metrics. You have options to build your reports from scratch or use one of the many pre-made templates. The AI tool called Fiix Foresight helps spot patterns and predict issues. That said, users of the free version miss some advanced reporting features.

Unique Features to Fiix

Fiix stands out with its AI-powered analytics, which examine work orders to predict maintenance needs. It even works in the mobile app, giving technicians access to asset information. The only catch is that users need an active company account to use all mobile features, making it difficult for teams to evaluate before making a purchase.

Fiix Adaptability & Customization

Custom fieldsFiix offers a decent range of customization options, though using them isn’t always smooth. Users can add or remove fields in work order forms and modules through the “Custom Fields” section, where you can define field types like text, dates and dropdowns.

The interface feels clunky, with no drag-and-drop capability in sight. Finding the field editor means digging through layers of admin menus — a frustrating journey of unnecessary clicks. To make matters worse, many existing fields cannot be renamed, so the system imposes default labels that users must live with.

Luckily, you can customize list views by filtering or changing visible columns in the work order queue. The process feels unfriendly to users, though, as it involves multiple menus. There’s also no way to save multiple preset views per user role, unlike other CMMS software platforms we’ve seen.

Automation rules allow triggering work orders based on usage meters or time intervals. Check out the help documentation to get an idea of how it works, as you’ll need to click around a lot to configure these features.

Fiix Customer Support

Customer supportThere’s phone support and email support for Fiix users. The company offers local and toll-free numbers for immediate assistance. You can send support requests when you need it. Another option allows users to submit support tickets directly through the Help Center inside the Fiix web app. 

Response times vary according to the company’s Service Level Agreement, which categorizes issues by severity. That said, the Help Center is extensive. Users can access detailed articles, training videos and an active community forum. 

The missing live chat option stings for folks who want instant messaging help instead of picking up the phone or waiting on emails. Initial responses range from quick 60-minute turnarounds to longer 24-hour wait times for less critical problems, creating a major user sticking point.

The documentation lacks sufficient detail about escalation processes for complex issues beyond standard support channels. Fiix provides dedicated account managers for enterprise clients, yet smaller businesses often navigate multiple support tiers without clear guidance on expediting resolution for critical problems.

All in all, though, users report positive experiences with customer service. The support team receives praise for being responsive and helpful when solving problems. We also experienced their support team’s knowledge and responsiveness firsthand.

Fiix Pricing

PricingWith Fiix, you can choose from four pricing tiers. Work orders, project management (PM), mobile access and asset tracking are all included in the Free plan. For those needing advanced capabilities, paid options include Basic at $45 per user per month, Professional at $75 per user per month and Enterprise, which offers custom pricing.

Companies wanting complete reporting, advanced scheduling and analytics must upgrade beyond the Free version, and smaller operations might find the paid tiers expensive compared to alternatives. For instance, Coast provides similar free work order and asset tracking features, along with a more intuitive mobile-first design that appeals to smaller maintenance teams.

Fiix positions itself in the mid-range market for maintenance software. More affordable options, like MaintainX, start at $16 per user per month for its Essential plan. Meanwhile, enterprise solutions like eMaint typically cost more, depending on the implementation requirements.

Fiix delivers a comprehensive feature set across all plans, but some users may question whether the older interface and learning curve justify the price point. Consider your staff size and technical comfort when evaluating which option makes financial sense.
