What Makes the Best Government Asset Management Software?

When looking for the best asset inventory management software, you should compare these core features:

  • Asset lifecycle management: Whether it’s police cars, ambulances, data centers or office furniture, all assets require accurate recording and tracking from acquisition to disposal. To do this, an asset management system needs real-time tracking capabilities (using technologies such as GPS, RFID, barcodes, etc.), asset inventory management features and maintenance management workflows.
  • Work order management: You need to be able to schedule maintenance tasks and manually create and track work orders with your asset management system. The system must also track maintenance history per asset and record labor and material costs. That way you can quickly identify cost overruns before receiving an inquiry from your friends in finance.
  • Integrations: Integrations are vital for data exchange and automation. For example, if you want to automatically populate maintenance costs into your ERP system once the asset management system calculates them, you’ll need to integrate both of these systems.
  • Mobile access: Using a mobile maintenance app, your technicians can access and update work orders while working in the field. The best systems also offer built-in chat that allows your team to ask questions in real time.
  • Customization: All asset management systems are unique, but so are your needs. That’s why you need a highly customizable asset management system that adapts to your requirements. Look for customizable asset forms and workflows when selecting an asset management system to ensure it can meet your needs at all times.

Why It’s a Top Asset Management Software for Governments

Coast asset 2025Coast is a highly customizable computerized maintenance management system (CMMS) with extensive asset management capabilities. It helps manage the entire asset lifecycle, from acquisition to disposal.

For example, when you purchase an asset, you enter all the details in Coast, including warranty info, the manufacturer’s maintenance recommendations, and any invoices or documents that you want to store for that specific asset.

Then, you set up a preventive maintenance schedule to keep your asset in good shape. This schedule runs automatically based on your defined frequency and notifies technicians whenever a maintenance task is due or overdue. The technician checks off tasks as they complete them, building an automated audit trail that you can share with auditors.

Coast also lets you monitor an asset’s condition based on sensor data (that is if you’ve installed sensors on your assets). This helps you optimize maintenance costs and free up technicians’ time for more important tasks.

Technicians also like Coast because it makes their lives easier. For example, technicians can use QR codes to make service requests using Coast’s mobile app. They can also communicate with you or the person managing them within Coast to request additional details or share updates.

Most importantly, Coast offers plenty of customization options within its government CMMS software. This allows you to create asset forms relevant to the type of assets that your department typically uses and build maintenance workflows based on your internal processes.

Return on Investment Made Within First Quarter of Use

[I like] the communication it provides between operations and maintenance and the other departments. There's no getting away from tasks, and nothing slips through for non-maintenance staff to request. I have to say, from the implementation side, it was probably one of the easiest software we’ve ever rolled out. The cost per feature you receive is fantastic, and all that money goes to keeping our assets running and minimizing lost time.

Current Review

Generally Positive. It Is a Powerful Tool to Add to Your Toolbox.

It's fairly intuitive and has a lot of great features. The ability to locate all of our assets and not only see the history of maintenance/construction on them is huge. And it is very handy to have all the information on every asset at your disposal whenever you need it.

Why It’s a Top Asset Management Software for Governments

Ease of useAsset Panda offers extensive asset management features, including leased equipment tracking. We like the overall feature set as well as its mobile app. Your team of technicians can use a mobile device to scan a QR code to check assets in or out, update asset information and perform audits. They can do all of this even when offline. Once the device connects to the internet again, the app syncs data to the cloud to update records across the organization.

We appreciate that Asset Panda also offers customizable fields and layouts. They allow you to tailor the experience to your specific asset tracking needs. However, we did find it annoying that our session kept timing out rather quickly while using Asset Panda.

Key Features

  • Mobile asset tracking with offline capabilities

  • Tracks assets across multiple locations

  • Creates clear audit trails for regulatory compliance

Pros & Cons

Pros

  • Allows technicians to use the mobile app even offline
  • Offers leased equipment tracking that offers visibility into leasing contracts, returns, condition of leased assets and vendor relations
  • Offers cloud-based hosting (Amazon AWS) to host your data and uses TLS 1.2 encryption to protect data in transit

Cons

  • Many mobile workflows inherently require functioning barcodes and tags, without which they may fail
  • Sessions timed out too quickly during use

Asset Panda Gave Us the Right Control Over Heavy Equipment Tracking

Wereduced lost gear and unscheduled downtime. The system let us see under-leveraged assets and rotate inventory better, and that translated into less over-purchasing and tighter ops control.

IBM MaximoIBM Maximo’s asset management system is built to handle more complex enterprise asset management (EAM) workflows. If your department or agency handles large-scale government operations, IBM Maximo’s extensive capabilities for procurement, maintenance, decommissioning and more could be useful.

Why It’s a Top Asset Management Software for Governments

BrightlyBrightly Asset Essentials offers greater visibility into your physical assets inventory and control over maintenance processes. But it also offers multiple advanced features. For example, we like that Brightly Asset Essentials offers GIS/map integration. This lets you locate assets spatially, reducing windshield time by guiding technicians to precise asset locations.

While locating assets is only possible when your device is online — which is fine — the mobile app does offer offline functionality for most other tasks. Whenever the device goes back online, it syncs data to update all records.

Brightly Asset Essentials also offers condition monitoring through a feature called “Smart Assets.” In addition to real-time alerts for anomalies, data collected during asset condition monitoring is also used to enrich your reports and dashboards, providing a comprehensive view of asset health.

The platform’s Citizen Portal is an especially useful feature for government agencies and departments. It allows citizens to submit work requests using a map-based interface. They select a location, choose a work category, provide a description, attach photos and include all the necessary details required to create a work order.

Key Features

  • Intuitive, mobile-first design

  • A Citizen Portal where citizens can submit work requests and track their status

  • Smart Assets for condition monitoring

Pros & Cons

Pros

  • Great for community engagement through Citizen Portal
  • Offers offline mobile app access
  • Has over 100 predefined reports and dashboards

Cons

  • Getting started with the platform can be overwhelming
  • Limited customization

Your Needs Matter the Most

All asset management systems can create a centralized database of assets, but the best ones cater to your specific needs. That’s why customization is the most critical aspect to consider when choosing an asset management system.

Look for a system that allows you to build workflows and automations that align with your department’s existing internal processes. This way, you don’t have to completely overhaul your processes during the asset management system implementation. In government, that means less time seeking regulatory approvals for changing your processes.

If you’re looking for a system that fills the gap in your existing workflows instead of requiring you to re-engineer your existing processes, Coast is your best bet. It’s highly customizable and offers ample flexibility when building your workflows and offers everything else you need in an asset management system. Book a demo to learn more about Coast.
