We tested EZO as part of its 15-day free trial as well as scoured the internet for customer reviews and videos that highlighted all aspects of the software. Here’s what we found.

EZO Ease of Use 

EZO asset managementLet’s start out with the fact that EZO is not an all-in-one software. If you want both asset management and maintenance management, you’ll have to sign up for two individual platforms and pay for two different plans: EZO (previously EZOfficeInventory), its asset management product, or EZO CMMS. After you get past that hurdle, setting up EZO’s asset management and CMMS platforms is actually pretty straightforward, especially if you’ve used any kind of business software before. The onboarding process includes templates and import tools to help get your existing data into the system quickly. The interface is modern enough, though not flashy, and most users say it’s pretty intuitive once you spend a little time with it. Navigation is clean, and key features like work orders, asset creation and location tracking are front and center on the dashboard.

Creating items like work orders, assets and locations is simple — usually just a matter of filling out a form and hitting save. Updates are easy to make, too, whether you’re assigning a technician, changing a due date or adding comments. Searching for work orders or assets is also quick with filters and keyword search, though it can feel a little cluttered if your team has tons of entries.

EZO Mobile Experience 

MobileAgain, you’ll need two separate apps if you’re using both EZO and EZO CMMS, as they are independent mobile experiences.

EZO’s CMMS app can be found on iOS and Android and even works offline. You can view up to 20 assigned work orders without internet, then log work locally and sync later once you’re back up. The layout is intuitive, with easy access to assigned tasks, details pages, comments, attachments and status updates. While the drag-and-drop Planner is better suited for a desktop screen, the mobile version makes updating statuses, adding photos and entering work logs fast and straightforward. Push notifications alert technicians to new or updated assignments right on their device.

In EZO’s asset management app, you can scan barcodes or QR codes to pull up item info, then check assets in or out, reserve them or log audits. Need a quick work order? Just hit the work order tab and jot down the issue, add attachments and assign it. The app supports bulk actions on groups of items, so you can scan 25 assets at once for checkout or return. Alerts appear on the mobile dashboard. 

EZO Core Features and Functionality 

While both EZO and EZO CMMS share a similar interface and branding, they’re sold and managed separately — so if you want both full asset tracking and advanced maintenance tools, you’ll need to subscribe to each one. Both platforms can create work orders, but the depth of features differs.

EZO CMMS

EZO CMMS is all about keeping your maintenance operations running smoothly — think work orders, maintenance schedules and repair histories. It’s built for maintenance teams that need to track what’s been fixed, what preventive maintenance tasks are due and who’s working on what, all in real time. 

EZO work orderIn EZO’s CMMS, work order management is robust. You can use the drag‑and‑drop Planner or Work Queue to assign jobs to technicians — just move a work order onto a calendar. Hovering reveals start/end dates, assignees and current status. Filters let you sort by priority, technician or stage, making it easy to stay organized. You can also update a work order with comments and attachments or by changing its status. Other key elements of EZO CMMS are: 

  • Preventive maintenance in CMMS supports both time- and meter-based schedules tied to specific assets. Tasks auto-populate the Planner or calendar, where they can be dragged and reassigned visually to balance the technician workload.
  • Communication tools include threaded comments, file attachments and the ability to add users for automated notifications custom to their selected actions. While there’s no live chat, you can upload procedural documents and keep all maintenance-related discussions in one place.
  • Reporting and analytics are another CMMS strength. Built-in dashboards and downloadable Jobs Reports show open, in progress and completed work orders. Reports are filterable, exportable in CSV or PDF and available on all plans, even the entry or mid-tier versions.
  • Unique features of EZO CMMS include its Quick‑View pane, which displays full work order details (including cost breakdowns, linked assets and completion percentage) without needing to navigate away. The drag-and-drop Planner also streamlines technician scheduling.

EZO Asset Management

EZO Asset Management is more about usage tracking. It covers the entire lifecycle of your physical assets — from the moment you acquire them, through their use and maintenance, all the way to disposal. In addition to tracking physical items, it also handles inventory, cost tracking, compliance and analytics. (A CMMS fits inside the bigger asset management picture, but many companies use both.) 

EZO asset managementYou can quickly create assets with custom fields, and the software logs check-ins, check-outs and downtime automatically. Its basic work order system lets you report issues tied to an asset, add files and assign someone to resolve it — but it lacks the detailed maintenance planning of EZO’s CMMS. One standout: its barcode/QR system connects usage directly to downtime tracking for real-time visibility.

EZO Adaptability & Customization 

EZO cmmsBoth platforms let you add or remove fields nearly anywhere. You can customize work order forms, asset records, locations and parts by creating custom fields and even making them required. In the asset management platform, you do this manually by choosing More → Customize → Custom Fields, then the field type (text, dropdown, date, radio, etc.) and link it to modules like items, locations, work orders, vendors and more.

You can rename fields easily and manage visibility, for example, make them mandatory, editable by staff or admin-only. You can also toggle fields to appear during item checkout, check-in or reservations.

Both platforms support automation; however, EZO’s CMMS allows you to set up workflows triggered by events (i.e., when a work order is created or approved) that automatically assign supervisors, set dates or route tasks based on conditions, like priority, type or department.

In terms of views, EZO lets you create and customize list views and dashboards — adding custom-field columns, filters and sorts to asset, inventory or work order listings — and save them for easy access. You control which fields show up in listings and forms.

EZO Customer Support 

EZO offers support through both email and phone, with phone lines available in the U.S. and internationally. Support hours run Monday through Friday, 7 a.m. to 5 p.m. EST, and they offer after-hours help for urgent issues. According to its website, the support team aims to respond to emails within one business day, which lines up with what most users report in online reviews — many say they get quick, helpful answers, often the same day. There does not appear to be a live chat or chatbot. If you prefer to troubleshoot on your own, there is an online help center that includes ample step-by-step guides, FAQ sections and training resources.

Customer service reviews are mostly positive. However, a few users do note slower response times or less helpful experiences. When we signed up for the trial, we were contacted by someone within an hour asking if we’d like a demo.

EZO Pricing

EZO is not free, but it does offer a 15-day free trial, so that you can test it out risk-free. After the trial, pricing depends on the specific product and plan or tier. For instance, here’s how much the EZO (asset management) platform costs:

Coast: The Better EZO Alternative 

While EZO is a solid program, it’s not an all-in-one software like Coast is. With EZO you have to pay for two separate platforms if you want both asset and maintenance management, but Coast brings the two into its core platform, even as part of its free plan.

EZO also doesn’t include a built-in team chat feature like Coast does. Instead, it lets you integrate with external chat platforms. This means that while communication can take place within your asset or maintenance workflows, it happens through those external apps, not directly inside EZO. (This is also true for the CMMS.) If you want real-time discussion tied to your assets or work orders, you’ll need to set up one of these integrations. That’s different from Coast, which has chat built directly into its app and offers a more seamless, embedded team communication experience.

In short, Coast has a more inclusive pricing model that businesses of all sizes, but especially smaller businesses, will appreciate.
