Thanks to its free trial, I was able to test Cryotos for myself. I looked at how mature its AI and predictive capabilities are and how well its core maintenance management features stack up against the rest. I also carefully analyzed real user experiences from sources like G2, Capterra, Reddit and industry forums. With all this in mind, I identified key strengths and limitations to help you get a better understanding of the software.

Cryotos Ease of Use

Cryotos ease of useCryotos’ interface is pretty easy to use. There’s a panel on the left side that lets you navigate between sections. This is your starting point whenever you want to get something done.

Most teams will want to populate their CMMS with asset and parts inventory. On Cryotos, this is as easy as it gets. You head over to “Manage” > “Assets” > “List” and add assets individually or through a list import from the “List” section. The same process applies to parts inventory.

I liked the platform’s simplicity, but the interface could use a refresh. The interface looks dated, partly because it focuses on simplicity more than aesthetics.

Cryotos Mobile Experience

Cryotos mobileThe mobile app is an improvement in terms of interface design. It uses a similar layout to the desktop version, but the design is more fluid and curvy. Like the web-based interface, there’s a left navigation bar that lets you switch between sections.

I like how the interface offers a handful of quick access buttons, making it easy to create work orders and scan a QR code. Moreover, there are a few quick navigation buttons at the bottom.

The dashboard provides an overview of most of the information your technician would need about their schedule. Technicians can filter the scheduled tasks list by “assigned to me” to remove clutter. In addition to viewing tasks on the dashboard, technicians receive an instant notification on their mobile app whenever a task is assigned.

Overall, the mobile experience is satisfactory. It’s not exactly “impressive,” but it’s not terrible either.

Cryotos Core Features & Functionality

Cryotos offers an extensive feature set, including advanced features like workflow automation and monitoring data received from IoT sensors. Let’s take a closer look at Cryotos’ capabilities.

Asset Management & Tracking

Asset calibrationAlmost all asset management and tracking features are housed under “Manage” > “Assets,” where you’ll find options to add or import assets, add calibration details, track downtime and record disposals.

The platform offers all the basics, including the ability to create categories, build a location-based list of assets, manage part inventories and maintain a stock ledger.InventoryHowever, there’s one thing that requires clarification. Cryotos website positions it as an Enterprise Asset Management (EAM) software that covers the entire lifecycle of an asset. The reality is a bit more modest.

The features are actually maintenance-heavy. The platform doesn’t offer a dedicated procurement module, but it does include features such as vendor management and asset lifecycle visibility that allow you to track assets at the lifecycle level.

Work Order Management

Work orders are managed in the “Maintenance” > “Work Orders” section, and I noticed several handy features.

The “Work Orders” section allows you to manage your work orders and provides an extensive set of filters to help users find specific ones. If you’re just looking for an overview of what a specific week or month looks like, you’ll see it in the “Calendar” section here.Work order cryotosThe work order itself is pretty straightforward. At the top, select the asset or facility you want to create a work order for, and below, fill out a form with all relevant details and add images as needed. Pretty standard.Breakdown requestWhat’s interesting is that directly within this section, there’s a small menu at the top-right with an option called “Chart.” Whenever you want to analyze maintenance data visually, just fill in the details, and Cryotos takes care of the rest.

Preventive Maintenance

Cryotos packs in most of its preventive maintenance features in the “Schedule Maintenance” section under “Maintenance.” You can create a schedule for recurring maintenance needs under the “Planned Maintenance” tab within this section. All you need to do is fill out a quick form and select whether a specific maintenance task requires time- or usage-based maintenance.Preventive maintenance cryotosOnce you’ve created a schedule, you can view all tasks in the “Calendar” or “SM List” tabs. You can apply filters or use the search bar to find a specific task in the list. If you’re switching from spreadsheets or another CMMS to Cryotos, you can also import your SM list.Pm templateCryotos’ real preventive maintenance capabilities reside in the “Workflow” section. This section allows you to schedule entire workflows, which is helpful when scheduling more complex maintenance tasks or inspections.

The workflow builder is quite extensive. You can add radio buttons, toggles, images, drop-down lists and various elements to the form as needed. I found two features especially interesting.

First, there’s an AI chat that guides users as they build a workflow. Second, there’s a mobile preview on the right of the screen. That’s exactly what technicians will see when they’re working on this workflow. I also like the ability to import a JSON workflow template and view a flow diagram based on how you’ve structured the workflow. AI chatCommunication

Cryotos has a multi-layer communication framework. The most basic layer is work order comments. Team members can leave notes and updates directly within a specific task.CommunicationThe platform also has an AI-powered knowledge base that allows technicians to ask questions directly within the work order should they need any help. I couldn’t access this feature during the free trial, so I’m unable to comment on how well this feature works in practice.

The most distinctive communication feature is the WhatsApp integration. Once integrated, users can create work requests, convert them into work orders, share updates and progress reports, and schedule preventive maintenance, all from within a WhatsApp chat. However, this feature is only available in the top-tier plan.

Reporting & Analytics

Cryotos’ reporting and analytics capabilities are packed into three distinct features:

  • Standard dashboard: This is what’s available on the basic plan. It offers an overview of your company’s maintenance work and schedule.
  • Report builder: The report builder is only available on the Professional and Enterprise plans. This feature lets you build reports using specific parts of data, such as spare parts usage, asset warranties, downtime, completed work order costs, etc.
  • Full BI dashboard: This is the most capable reporting and analytics feature, but it’s only available in the Enterprise plan. It allows users to build fully customized dashboards based on their own questions. This could involve identifying assets that frequently cause issues or monitoring overdue work orders.

Report builderIf you’re an SMB, you’re likely going to be limited to the standard dashboard given the pricing for high-tier plans.

Predictive Maintenance

Cryotos offers some great features that aren’t typically found in a CMMS. For example, Cryotos has an AI-powered knowledge base that technicians can ask questions to and get useful information from troubleshooting guides, safety procedures, diagrams and video tutorials.

The platform also offers predictive maintenance capabilities. It can integrate data from sensors and IoT devices and continuously monitor vibration, temperature and energy consumption. Cryotos’ predictive algorithm continuously analyzes incoming data to detect changes in equipment behavior and flag potential failures.Meter readingsThe WhatsApp integration is a rare feature, too. Being able to update work order status and receive alerts via WhatsApp is especially useful for teams based in regions where WhatsApp is the most-used messaging platform.

Cryotos Adaptability & Customization

There are quite a few customization options here. The biggest one is the ability to create customized workflows per the user’s existing procedures. Users who don’t want to build a workflow from scratch can use one of the templates as a starting point and modify it as needed to align the workflow with their current procedure.TemplateUsers can also create more intricate procedures with Cryotos, as it supports JSON-based workflow templates. Once set up, you can configure the workflow to run automatically from the “Work Orders” section.

The form builder is quite versatile as well. You can add a wide range of input types to the form, including text fields, numeric fields, checkboxes, dropdowns and interactive tables. There’s also a versioning system for each workflow, which allows users to maintain a clear history of modifications.

Cryotos Customer Support

Support options include live chat, phone and email. Cryotos also has multiple self-serve options, including detailed user manuals, video tutorials and live webinars. Various G2 users note that the support team is responsive and helpful, which is a relief.Customer supportThe only real problem is the “Help Center,” which is pretty basic. It’s essentially just a list of FAQs on a page. In fact, most FAQs are about pricing and cancellation. While there are other resources you can lean on, like video tutorials, they can’t act as a replacement for a “Help Center.”

PricingCryotos may be more suited for mid-tier or enterprise businesses than small businesses because of its feature portfolio and pricing. Here’s an overview of the pricing tiers (for monthly billing):

  • Enterprise: Custom pricing

Even the basic plan, which excludes essential features like QR code scanning and maintenance history, costs more than competing platforms that offer similar or better feature sets. You do get a slightly better price if you pay for the full year upfront, but it’s an insignificant difference compared to the total cost.
